Event Branding Checklist for Zimbabwean Businesses
A practical checklist for planning event branding, from banners and signage to giveaways and lead times.

Whether you are running a product launch, a conference, or a stand at an expo, event branding is easy to get wrong if it is left to the last two weeks. Use this checklist to plan what you need and when, especially given how busy the Harare expo and events calendar gets around mid-year trade shows and the festive season.
Six weeks out: plan your branding needs
Start by listing every touchpoint attendees will have with your brand at the event:
- Entrance and stage signage
- Registration desk items
- Delegate or attendee giveaways
- Speaker or VIP gifts
It also helps to think about the venue itself at this stage - an outdoor stand at an expo ground has different signage and weather needs from an indoor conference hall.
Signage and banners
Visible signage sets the tone before anyone even reaches your stand or entrance. A pair of banners flanking an entrance or stage reads far better than a single banner off to one side.

If your event falls during the rainy season, factor in a stable, weighted base for outdoor signage and a plan for bringing banners under cover if weather turns during the day.
Registration desk essentials

Matching your checklist to event size
- Small event (under 50 attendees) - a single banner, a modest batch of pens or notebooks, and simple registration desk items are usually enough

Two weeks out: confirm artwork and quantities
By this stage you should have final attendee numbers or a reasonable estimate, and your logo files ready in vector or high-resolution format. Confirm your order quantities now - ordering extra is easier than running short on the day.
One week out: confirm delivery or collection
Decide whether you will collect from the Harare office (free) or need delivery. Delivery within Harare is US$7, while orders outside Harare are sent via courier on a pay-on-collection basis, meaning the client settles the courier fee directly. If your event is outside Harare, build the courier transit time into your one-week buffer rather than assuming next-day arrival.
On the day
Keep a small buffer of extra giveaway items on hand for unexpected walk-ins or media attendees, and make sure signage is set up early enough to be visible before the event officially opens. For outdoor stands during the rainy season, check the weather forecast that morning and have a contingency plan for securing or temporarily lowering banners if a storm rolls through.
Buyer questions
What if my attendee numbers change close to the event? It's always easier to plan slightly above your expected numbers than to place a second rushed order at the last minute.
Do I need different items for staff working the stand versus attendees? Many businesses give staff a slightly different lanyard or pouch colour so they're easily identifiable at a glance on the day.
After the event
Once the event is over, pack away any reusable signage properly rather than leaving it in a vehicle or storeroom in poor condition. A banner or stand that is stored well after one event is ready to go for the next one with minimal extra cost.
